Patent application process


Step 1: Notification/consultation prior to public release of a thesis


Please notify and consult with the Institute for the Promotion of Business-Regional Collaboration regarding patentable research outcomes prior to making the patentable material public in a thesis or at an academic conference.

Step 2: Preparation/submission of the Invention Notification Form


You will be asked to prepare an Invention Notification Form. This form is used to notify the university of an invention in accordance with the university’s Rules on Employee Inventions.

Step 3: Screening by the Intellectual Property Selection Board


Based on the details from the Invention Notification Form, the Intellectual Property Selection Board will determine whether or not to file a patent application. In cases where the university decides not to file for a patent application, it is still possible for the inventor to do so individually.

Step 4: Preparation/submission of the Title Transfer Certificate


The Title Transfer Certificate gives consent for rights received from a patent and patent rights obtained therein to be transferred to the university in accordance with the university’s Rules on Employee Inventions.
There are four types of Title Transfer Certificate based on whether a student is included as the transferor (inventor), in addition to individual or joint patent applications. The Institute for the Promotion of Business-Regional Collaboration will provide the most suitable form based on the Invention Notification Form received from the inventor. You will be asked to return the form after filling in the transferor (inventor)’s name and providing a signature/personal seal.

Step 5: Hearing for preparation of patent specifications


After the university decides to file for a patent application, a hearing will be held for preparation of the patent specifications. A staffer in charge from the Institute for the Promotion of Business-Regional Collaboration will lead the hearing.

Step 6: Confirmation of patent specifications draft


A patent attorney will confirm details of the patent specifications draft and make changes if necessary. The inventor will be asked to answer any questions that the patent attorney might have regarding the patent’s technical specifications.

Step 7: Patent application


The completed patent specifications will be submitted from the patent office to domestic and overseas patent authorities.
Upon application, the Institute for the Promotion of Business-Regional Collaboration will send a copy of the application documents to the inventory.
The Institute for the Promotion of Business-Regional Collaboration will carry out all procedures and payments with the patent office.
